Important fixes for QuickBooks Online sync
Acctivate companies integrated with QuickBooks Online benefit from a real-time sync that ensures QuickBooks is always up to date.
An important part of Acctivate’s integration with QuickBooks is its journal sync. Acctivate syncs summary journals to QuickBooks Online to record the financial impact of inventory transactions and Cost of Goods Sold calculations from a sales invoice.
Whenever a transaction is posted or sales invoice is created, Acctivate recalculates related transactions as needed to ensure accurate and up-to-date cost calculations. If the cost of a journal that has been synchronized to QuickBooks has been recalculated, Acctivate deletes the original journal from QuickBooks and replaces it with the updated version.
We recently discovered that certain scenarios, such as an error returned by Intuit’s servers, could result in journals not being deleted from QuickBooks before Acctivate tries to create the newly calculated version of the journal. This would lead to a “Duplicate Document Number” sync error:
Duplicate Document Number Error : You must specify a different number. This number has already been used. DocNumber=’…’ is assigned to TxnType=Invoice with TxnId=’…’
When left unresolved, these sync errors could result in a backlog of journals that need to be synchronized. This can lead to a degradation in Acctivate performance as this backlog continues to grow.
After identifying the cause of this issue, we’ve included a fix in Acctivate version 13.0 SP1. Version 13.0 SP1 also resolves other common QuickBooks Online sync errors, therefore we strongly recommend updating as soon as possible.
Note, there are still legitimate reasons a duplicate journal error may exist. Refer to this KB article for more information on why and how to resolve. Duplicate journal errors that existed prior to installing the update will still need to be addressed even if after updating.
Continued improvements for Purchasing and Inventory
Acctivate version 13.0 introduced Create Drop Ship POs, Create Special Order POs , and improved entry windows for Purchase Orders and Inventory Transactions. These enhancements required significant changes, and in 13.0 SP1 we’ve made further refinements to ensure a smoother, more stable process for entering Purchase Orders and Inventory Transactions.
