The Challenge

Disconnected systems and manual processes slowed operations

When Terry Osenbach, Technical Director of Nature Plus, joined the company, operations were largely paper-based and disconnected. They relied heavily on spreadsheets and standalone Microsoft applications, with no integration between systems, including their accounting platform, QuickBooks.

Osenbach recalls the inefficiency vividly:

“We didn’t have any central location, and everybody would work in a spreadsheet and then save it as something somewhere and nobody could link to that or share information across the board. It was all individual islands among themself.”

This lack of system integration made tasks—like managing inventory or generating reports—painstakingly slow and error-prone.

“The accounting was an island onto itself. Reporting was an island onto itself. Everything would skip and go between different systems.,” Osenbach said. “The office manager would have to manually hunt down information because it was never in one place. It would take her all day to do what normally takes 15 to 20.”

Despite using QuickBooks, the team hadn’t activated its inventory management features, leaving critical processes disjointed. Recognizing this, Osenbach was tasked with finding a comprehensive solution to unify their operations.

  • I was well aware of different ERP products. We looked at quite a few of them,” Osenbach explained. “We chose Acctivate over numerous ERP systems because of price and the ability to interface with it.”

The implementation of Acctivate transformed Nature Plus into a more efficient and compliant organization, aligning with ISO standards and supporting long-term sustainability.

  • With today’s rules and regulations, trying to keep yourself above the law and above the regulatory action limits is paramount. We have to set an ISO mentality to keep the company going for future years, and we rely on Acctivate as the backbone of that whole process.”

Acctivate became the bridge that connected all of Nature Plus’s “islands” of information across multiple departments into a cohesive, efficient ecosystem.

  • When we had Acctivate it united all the islands with common functionality so that we could build relationships between inventory and customer service and batch making and everything really,” said Osenbach. “It was a perfect solution to a nightmare that we had to outgrow.”

With over 20 years of QuickBooks experience on their team, Nature Plus chose to keep QuickBooks for accounting and layer in Acctivate for inventory management and operational control. This approach provided the functionality they needed—without the cost or learning curve of a full ERP replacement.

  • We already had QuickBooks, we just wanted something to bolt onto it,” Osenbach said. “A lot of the larger online ERP systems already had their own accounting program built into them. This would increase the learning curve, which is something that we just don’t have time or effort to do.”
  • The integration between Activate and QuickBooks works beautifully, and we haven’t had any problems whatsoever.”

Transitioning to Acctivate was smooth and intuitive.

  • I jumped right in, and I started playing with the system,” he said. “The more I got into the program, the more I found that it was going to be much better than the current system we had. The learning curve has already been covered for 95% of things.”

  • I really like the assembly feature. I like how it picks different amounts and scales up in batch size and allows for the actual versus the target value of what your yield is. We always shoot a little bit higher than what we need because when we fill bottles, we always have a little leftover to flush the lines with.”

Nature Plus also leverages Acctivate’s EDI integration to streamline their order management process and strengthen relationships with trading partners.

  • Our EDI interface simplifies our order management process. When we have an order come in, it just comes in automatically and goes right to shipping. We have zero errors in our shipping because of the EDI.”
